Surfhippie Retreats

Booking Terms & Conditions

These Terms & Conditions apply to all Surfhippie retreats. By making a booking, you confirm that you have read, understood and agreed to these terms.

1. Booking & Payment

A booking is confirmed once your completed booking form and the required deposit or first payment have been received. The remaining balance must be paid according to the payment schedule stated on your booking confirmation. Where an instalment plan has been agreed, payments must be made by the dates specified in that plan.

If a payment is missed, please contact us as soon as possible. Surfhippie reserves the right to cancel a booking where payments remain outstanding and no alternative arrangement has been agreed.

2. Minimum Numbers

Our retreats are designed for small groups and require a minimum number of participants to run. If minimum numbers are not reached, Surfhippie reserves the right to cancel the retreat. In this event, all monies paid directly to Surfhippie will be refunded in full. We recommend waiting until the retreat is confirmed before booking non-refundable flights.

3. Cancellation by You

If you need to cancel your booking, please notify us in writing as soon as possible.

The following cancellation charges apply:

  • More than 90 days before departure – deposit retained.

  • 60–89 days – 50% of the retreat fee.

  • Less than 60 days – 100% of the retreat fee.

If your place can be filled from a waiting list, we will do our best to minimise any cancellation charges where possible.

4. Cancellation by Surfhippie

We reserve the right to cancel a retreat due to:

  • insufficient participant numbers

  • severe weather

  • natural disasters

  • political unrest

  • pandemics

  • venue issues beyond our control

  • any other unforeseen circumstances that make the retreat unsafe or impractical.

Should this happen, all monies paid directly to Surfhippie will be refunded.

Surfhippie cannot reimburse flights, travel expenses or other costs booked independently.

5. Travel Insurance

Comprehensive travel insurance is strongly recommended and should include cover for:

  • cancellation

  • medical treatment

  • personal accident

  • personal belongings

  • travel delays

  • repatriation

You are responsible for arranging your own insurance.

6. Flights & Travel

Guests are responsible for booking and paying for:

  • flights

  • airport transfers (unless otherwise stated)

  • transport not included within the retreat

  • visas (where applicable)

Please ensure you arrive at the retreat location within the arrival window provided.

7. Health & Medical Conditions

Please let us know before the retreat of any health condition, injury, allergy, medication or other circumstance that may affect your safe participation in retreat activities, where it is appropriate for us to know. If you are unsure whether an activity is suitable for you, please seek advice from an appropriate healthcare professional.

Surfhippie reserves the right to decline participation where we believe a retreat may not be suitable for an individual's health or safety.

8. Participation

Participation in individual retreat activities is voluntary. You are encouraged to listen to your own body and participate only to the extent that feels appropriate. Please never push beyond your own physical limits. If at any point you feel discomfort, dizziness, pain or concern, you should stop immediately and inform your host. Participants confirm they are reasonably fit to take part in the activities they choose to join.

9. Medical Advice

Yoga, breathwork and mindfulness practices are not a substitute for medical advice or treatment.

If you have any concerns regarding your health or your suitability to participate, you should consult your GP or healthcare professional before attending. 

10. Assumption of Risk

Participation in all retreat activities, including but not limited to:

  • yoga

  • breathwork

  • walking

  • swimming

  • excursions

  • sauna

  • cold water bathing

  • creative workshops

is entirely voluntary.

By participating, you acknowledge that all physical activities involve an element of inherent risk. You accept full responsibility for your own participation and personal wellbeing throughout the retreat.

11. Liability

Surfhippie takes every reasonable care in planning and delivering safe retreats.

However, to the fullest extent permitted by law, Surfhippie accepts no responsibility for:

  • injury

  • illness

  • loss

  • theft

  • damage to personal belongings

  • travel disruption

  • missed transport connections

  • delays caused by third parties.

Nothing in these Terms excludes or limits liability for death or personal injury caused by our negligence, fraud, or any liability that cannot legally be excluded under UK law.

(This final sentence is important under UK law and should remain.)

12. Excursions & Third-Party Providers

Some activities take place in natural environments including mountain trails, beaches, villages and coastal areas. Whilst every reasonable effort is taken to minimise risk, these environments are naturally uneven and participants choose whether to join these activities, taking responsibility for participating within their own abilities and following any safety guidance provided.

13. Photography

From time to time we may take photographs during the retreat for future marketing. We will always respect anyone who prefers not to be photographed. Please let us know before the retreat begins if you would rather not appear in any images. You are welcome to take photographs, but please respect the privacy of other guests.

14. Behaviour

Surfhippie retreats are built on kindness, respect and consideration for others. We reserve the right to ask any participant whose behaviour is disruptive, unsafe or inappropriate to leave the retreat without refund.

15. Changes to the Programme

Occasionally we may need to adjust activities, teachers, practitioners or the schedule due to illness, weather or other unforeseen circumstances. Where possible, a suitably qualified replacement will be arranged. Such changes do not normally constitute grounds for cancellation or refund, provided the overall nature of the retreat remains substantially as described.

16. Outdoor Environments

Natural environments include uneven ground, beaches, mountains and woodland.

17. Medication

Participants remain responsible for taking their own medication.

18. Alcohol / Drugs

Guests must not participate in yoga, breathwork, swimming, sauna, cold-water activities, excursions or other physical activities while impaired by alcohol, recreational drugs or any substance that may affect their ability to participate safely.

19. Waiting List

If someone cancels their participation, and we are able to refill the place, a refund is offered accordingly.

20. Room allocations

Occasionally rooms may need changing for operational reasons.

21. Governing Law

These Terms & Conditions are governed by the laws of England and Wales.
